Service Level Agreement and Terms and Conditions for City Business & City Training Courses
The purpose of this Service Level Agreement is to ensure that a framework with commitments is in place in order to deliver ‘service excellence’ to all customers.
The objectives of this Agreement are to:
- Outline accountabilities, roles and/or responsibilities.
- Offer an opportunity for ensuring we work to meet our Customer Charters (Employer and Learner).
This SLA shall remain valid until revised, or completion of the training agreed in the signed Business Proposal or Course Reservation, whichever is the sooner.
1 Roles and Responsibilities
In order to deliver ‘service excellence’ to our customers we will:
· Adhere to the standards laid out in our Employer and Learner Charters.
· Carry out IAG and initial assessment appropriate to the training to be provided.
· Deliver the training as laid out in the agreed Business Proposal.
· Provide appropriate induction for you and your employee learners (to include complaints and disciplinary procedures).
· Enrol your employee learners as City College learners within one week of starting the training.
· Register learners with the relevant awarding body within 10 weeks of starting the course (where appropriate)
· Provide progress reviews to you and your employee learners on a regular basis (at least 12-weekly).
· Notify you and your employee learners of examination and assessment results within one week of receipt of the results.
· Send certificates to the learner within 2 weeks of receipt from the awarding body and will provide copies to sponsers on request
We need your support in the following way:
· Provide your employee learners with required time away from work to enable them to complete their training and qualification.
· Where applicable, pay invoices in accordance with the agreed Business Proposal.
· Notify City College promptly of any occurrence that may impact on our ability to address the training needs agreed in the Business Proposal.
· Provide City College with feedback on your experience with us, to help us continually improve our service.
· Consider taking part in events organized by City College so that you can contribute to the process of meeting workforce development needs of the local community.
2 Monitoring and reporting
This external SLA will be monitored against objectives internally through City College quality assurance processes.
This review will take into account customer feedback (both external and internal) in order to report on the effectiveness of this SLA in delivering ‘service excellence’ to our external customers.
3 Agreement
By signing or completing the business proposal or course reservation form, both parties agree to abide by this agreement and the terms within it.
4 Terms and Conditions
The costing outlined in the business proposal or course specification will be valid for three months from the date of this proposal. After this date City College Southampton City College (CCS) reserves the right to re-negotiate the price with you, the customer.
For courses based at the College, or on premises provided by the College, City College Southampton agrees to:
· Provide suitable accommodation for the purpose of, and during the period of, the training course.
· Supply an instructor to run the training course.
· Supply where agreed, the aids for the purposes of the course.
· Supply where agreed, each participant with materials required for the course.
· Supply refreshments as outlined in the business proposal.
For courses held at the clients own premises the Client agrees to:
· Provide suitable accommodation for the purposes of, and during the period of, the training course. This accommodation shall be provided free of any expenses to CCS and Shall be complete with all necessary furniture, fittings and audio visual equipment as described in the business proposal.
· Where appropriate, arrange at its own expense refreshments during the training course.
· Ensure details of all participants attending the training are provided to CCS when requested.
5 Payment, Cancellation and Refund Policy
Whilst every effort will be made to run a course according to the published date(s), City College Southampton reserves the right to cancel or vary the date(s) should this become necessary due to circumstances beyond our control. If no alternative can be agreed then CCS will refund any course fee paid.
Course fees are payable in advance of the course start date. Substitutions may be made up to two days prior to the course start date. All notification of cancellations / substitutions must be made in writing to info@resultsforyourbusiness.com.
Once the place(s) on the course have been booked, a cancellation fee will apply if you cancel the booking or do not attend.
The following cancellation fees apply:
Number of days notice of cancellation before course commences
· 7 days or less 100% of total fee will be charged
· 8-14 days 75% of total fee will be charged
· 15-28 days 50% of total fee will be charged
· 29 days or more No fee chargeable
6 Bespoke/Tailor-made Courses
In the event that the client wishes to postpone a bespoke training course, it must be done at least 2 weeks prior to the course start date, or the above-mentioned fees apply. Postponement can be held for 3 months from the original planned date. If the course does not take place within this 3 month period, the fees paid will be retained by CCS.
For cancellations of bespoke training courses within 29 days of the course starting, the above fees apply.
7 Apprenticeship Fees
Fees for apprentices are payable as detailed. Responsibility for these fees is not removed if the learner leaves the employer or programme before the end of each payment stage. The exception is if the learner leaves within the first 6 weeks of the programme (probationary period) in which case no fee is chargeable and any fee already paid will be credited.
8 Requirements and Special Needs
We strive to accommodate any special requests or needs you may have, such as diet, disability, learning difficulties, course materials or equipment. Please ensure you let us know any special needs you have. Whilst we endeavour to accommodate special needs, we regret we cannot guarantee to meet all requests especially where they are made close to the event date.
If a course is certificated by an Awarding Body, for example, City & Guilds, and you have any learning disabilities, you may be entitled to further time/assistance in your examination. If you feel you may be eligible for such consideration you will need to provide a copy of medical documentation to support this. Please supply this with the Business Proposal and Reservation Form.
9 Course Information
Course Specifications/Outlines are available for all our training courses. We recommend that the intended learners read these to ensure that it meets their needs and that they are suited to attend. Some courses require a pre-assessment questionnaire to be completed; this must be signed and returned with the Reservation Form. If you are booking on behalf of an employee/a colleague, please ensure they have read the appropriate Course Specification/Outline.
If copies of previous qualifications are required, bookings cannot be confirmed until the appropriate documentation has been sent to us.
10 Provisional Bookings
If you have made a provisional booking, it will only be held for 7 days. If we have not received your course reservation form within 7 days, we will assume that you no longer require your provisional booking. That place will automatically be designated to the next person who pays for a place.
